Charts for analysis

Choose a visual that answers the question and keeps comparisons honest.

By the end, you’ll be able to:

  • Choose among category, trend, composition and relationship charts
  • Calculate a meaningful percentage share
  • Keep scales, labels and source scope clear

Choose the chart from the analytical question

Use a column or bar chart to compare categories, a line for an ordered trend and an XY scatter for the relationship between two numeric measures. A composition chart needs nonoverlapping parts that add to a meaningful whole.

The regional summary has revenue of 380, 230 and 40. A column chart makes the ranking clear. A line joining East, West and North would suggest an ordered connection that the category labels do not have.

1RegionRevenue
2East380
3West230
4North40

Keep time and numeric axes distinct

The monthly series 420, 480, 450 and 650 can be plotted in chronological order with a line. Include units and make the reporting period explicit. Missing months are not the same as measured zeros; investigate a gap before filling it.

An XY scatter chart plots numeric x and y coordinates, such as order value and delivery days. A regular line chart generally positions category labels along an ordered category axis. Use scatter when the numeric spacing of x values is part of the question.

AB
1MonthRevenue
2Jan420
3Feb480
4Mar450
5Apr650

Worked example: share of total revenue

=B2/SUM(B2:B4) gives East’s revenue share: 380 ÷ 650 = 58.46% when displayed to two decimal places. West contributes 35.38% and North 6.15%; rounding their displayed values may not sum to exactly 100%.

Percentage formatting displays a numeric fraction as a percent. Do not multiply by 100 and then apply percentage formatting. If the total is zero, the share is undefined; choose and explain a handling rule before publishing it.

Create and inspect the native chart in Excel

  1. Select a tidy summary including labels and the intended measures.
  2. Use Insert to choose the relevant chart type.
  3. Check the selected series, category labels and whether a total row slipped into the categories.
  4. Add a useful title and units; keep category bars based at zero.
  5. Change a source value and confirm the chart updates.

For Budget versus Actual across categories, a clustered column chart can compare two series. Keep their units and scope comparable. Two axes can exaggerate apparent relationships; use them only with a clear reason and visible labels.

Explain the result within its limits

“East contributes 58.46% of this sample’s revenue” describes the supplied records. It does not prove East is more profitable or has a larger market; the dataset has neither costs nor market size.

The browser offers functioning one-series column and line previews. Native scatter, multi-series and composition chart building are workbook tasks in Excel. Current web and desktop editions provide charting, but some chart types and formatting controls differ.

Exercise 01 / Formula practice

Calculate East’s revenue share

Using the regional summary, divide East Revenue B2 by total Revenue B2:B4. Enter D2. Return a fraction, not a multiplied-by-100 value.

Exercise 02 / Chart builder

Build a category comparison

Create a Column preview titled Revenue by region. Keep the three regions as categories.

Exercise 04 / Knowledge check

Choose a numeric relationship chart

You want to explore whether larger numeric order values are associated with longer delivery times. Which chart is the best starting point?

Choose one answer
Exercise 05 / Knowledge check

Respect a meaningful denominator

You need revenue share, but the total revenue for a filtered period is zero. What should you do?

Choose one answer

The bounded practice checker accepts equivalent supported formulas, lowercase function names and text labels, extra spaces, and comma or semicolon separators. Array tasks check the complete result shape and values. It is a teaching tool, not a complete Excel engine. See supported behavior.

Take this with you

Match the chart to the question, verify its source and denominator, and communicate only what the supplied measures support.
